Passenger Recommender

Match your headcount to the vehicle sizes that actually fit, with a snug, comfortable, or spacious read on each.

Seating capacity is a hard limit. Vehicles cannot be loaded past it, and swapping to a bigger one after you have signed is often impossible because the other vehicles book too. That makes headcount the single most consequential number in a Fort Worth booking, and it is usually the fuzziest. The recommender takes whatever count you have today and shows which sizes work, so you can see how much room there is to grow before the group chat settles.

How to use the passenger recommender

  1. 1

    Slide to your confirmed headcount

Use the number of people who have actually said yes, including the guest of honor and any chaperones.

  2. 2

    Read both recommendations

The first card is the comfortable fit for your size; the second gives extra room to stand or dance. Below 9 passengers there is one card, and above 40 the second card suggests multiple vehicles.

  3. 3

    Nudge the slider up

Add the two or three maybes. If the recommendations change, that is the size you should price, since being within two seats of a maximum is the most common booking regret.

  4. 4

    Tell us the occasion

A 16-passenger bus for a bachelorette is a different pick than a 16-passenger bus for a quinceañera. Send the headcount, event type, date, and ZIP for a matched quote.

A TCU graduation lunch for 27

A family in Tanglewood (76109) is hosting 27 people after May commencement: the graduate, parents, four grandparents, aunts, uncles, and a crowd of cousins. Pickup is near University Drive, then a celebration lunch at Clearfork and photos at the Fort Worth Botanic Garden before dropping relatives at two hotels downtown. At 27 the recommender shows a 25-passenger party bus as comfortable and a 30-passenger as spacious. Two cousins are still deciding, which would push the count to 29, inside two seats of the 30's maximum. The family prices the 30 and asks about a vehicle without a dance pole, which is a common request for family events.

Why this matters for a Fort Worth group

Move the slider from 1 to 60 passengers. Up to 8 you get an 8-passenger limo sprinter. From 9 to 14 the tool pairs a 12- to 14-passenger limo sprinter with an 18-passenger party bus. From 15 to 20 it shows the 18- to 20-passenger party bus, the most popular choice in Fort Worth, alongside a 22. From 21 to 30 it moves to 25 and 30 seats, from 31 to 40 to 35 and 40, and above 40 it suggests a 45- to 56-passenger coach or splitting into multiple vehicles. Each option carries a fit label.

The tool also reminds you to book 10 to 15% above your count. Three quarters of Fort Worth groups are 20 or fewer, and the median is 15, which is why the 16- to 20-passenger range is the busiest in the fleet and the first to disappear on a Saturday. Use the recommendation as the size to request, then let the date and availability settle which of the two it will be.

Graduations run bigger than birthdays

Every graduation request we have seen fell on a Friday or Saturday, and half asked for 25 or more seats to fit grandparents and cousins. If you are planning around TCU commencement in May, slide past 24 before you look at the cards.

Standing room changes the right answer

A 14-passenger limo sprinter seats 14 comfortably but has limited standing room. If the plan is to dance between the Stockyards and West 7th, the party bus card is the one to take even at the same headcount.

Weddings and corporate groups skip to coaches

Only about 6% of Fort Worth groups exceed 30, and they are mostly wedding shuttles, corporate outings, and game days. For those, a coach looping twice usually beats two party buses.

FAQ

Passenger Recommender questions

Specific to this tool and how Fort Worth groups use it.

It describes how your headcount sits in that vehicle. Snug means you fill the seats, comfortable means a few spare seats for bags and coolers, and spacious means room to move around. None of the labels lets you exceed seating capacity.
