Budget & Cost

Event Budget Planner

Lay out every line of the night in one place and see the real total and the real per-guest number.

The ride is one line in a bigger budget. A sweet 16 needs balloons and a dinner reservation. A bar crawl needs cover charges and a cooler. A graduation weekend needs a restaurant that can seat 25. Organizers who budget only for the vehicle tend to get surprised by the smaller items, and the smaller items are the ones that get spread unevenly across the group. This planner puts six categories side by side so the whole picture is visible before anyone commits.

How to use the event budget planner

  1. 1

    Enter the all-inclusive ride quote

Replace the placeholder in the Party Bus Rental line with the quote you received. It already includes driver, fuel, taxes, and gratuity.

  2. 2

    Fill in the dinner stop

Estimate the restaurant bill for the group. Dinner shows up in about 5.5% of Fort Worth itineraries and is the most common reason a 4-hour night becomes five.

  3. 3

    Add drinks, covers, and decorations

Use the BYOB Calculator for drink quantities, check cover charges at your stops, and keep decorations to balloons, streamers, posters, and signs.

  4. 4

    Keep a buffer

Leave something in the Misc line for ice, parking at a meetup spot, or a late-night taco run. It is the line most groups wish they had funded.

  5. 5

Set the guest count and read the per-guest figure

Enter how many people are splitting. Subtract anyone riding free, then share the total and per-guest numbers with the group.

A sweet 16 in Keller with 14 guests

Parents in Hidden Lakes are planning a Saturday for their daughter and 13 friends: pickup at the house, dinner in Southlake Town Square, a loop through the Cultural District for photos at the Water Gardens, and a drop-off back in Keller. They enter the ride quote, a dinner estimate for 14 teenagers plus two chaperones, zero in the BYOB line, a decorations budget for balloons and a banner (no glitter, no tape), and a buffer for dessert. The planner totals it and, since the parents are covering the ride, they set guests splitting to 1 to see the full cost in one number. The per-guest figure becomes useful when other parents offer to chip in for dinner.

Why this matters for a Fort Worth group

The six lines are the party bus rental, the dinner stop (food stays off the vehicle, so this is a restaurant line), BYOB drinks, venue or cover charges, decorations, and a miscellaneous buffer. Each starts with a placeholder you overwrite with your own figures. Set the number of guests splitting the cost and the tool totals everything and shows the per-guest amount. Zero out any line that does not apply; a family quinceañera has no BYOB line, and a Sunday brewery loop may have no decorations.

Two of these lines have rules attached. Decorations are welcome as long as nothing leaves marks, and glitter of any kind triggers a $350 cleanup fee, so that budget should go to balloons and signs. Drinks are bring-your-own for guests 21 and over only, and we do not sell or provide alcohol, so the BYOB line is a grocery run rather than a bar tab. The ride line itself needs no padding for tip or fuel.

Budget for a dinner that seats the whole bus

A party of 16 to 20 needs a reservation, not a walk-in. Restaurants in Clearfork and along Magnolia Avenue handle large tables well, but build in the time too: 60 to 90 minutes for a sit-down meal.

Family events shift money from drinks to decor

Sweet 16s, quinceañeras, and proms usually have no BYOB line at all, since alcohol is not allowed with minors on board unless a parent or guardian is present. Move that money to balloons, a photographer, or a longer block.

Covers vary wildly by district

Many West 7th bars have no cover while a weekend night at Billy Bob's Texas or a club in the Stockyards does. Call your stops a week ahead so the Venue line is a number, not a guess.

FAQ

Event Budget Planner questions

Specific to this tool and how Fort Worth groups use it.

Food is not permitted on the vehicle, so meals happen at a restaurant stop. Unlimited stops are included within your booked hours, which is why the planner treats dinner as its own budget line and its own block of time.
