Budget & Cost
See exactly what is due at signing and what is due before the vehicle rolls, based on how far out your date is.
A quote is not a reservation. Your date is only held once the signed contract and the deposit are in, and on popular Fort Worth Saturdays that difference decides who gets the vehicle. The standard structure is simple: 50% to reserve, balance due 7 to 14 days before the event. The exception is timing. Anything booked inside seven days of the date is paid in full at signing, and about 16% of Fort Worth requests arrive in that final week.

Use the tool, then send the date, ZIP, and headcount.
Put in the all-inclusive figure from your quote. Gratuity, fuel, and taxes are already inside it, so there is nothing to add first.
Set the number of days between today and the event date, from 1 to 120. The median Fort Worth group books 28 days out.
At 8 days or more the tool shows a 50% deposit and a balance due 7 to 14 days before the event. At 7 days or fewer it shows the full amount due at signing.
Put the balance window on your calendar now. All balances must be paid before the group boards, and the cardholder completes ID and card verification during the contract.
A couple marrying in October needs a coach looping guests between a hotel near Southlake Town Square and a venue on the west side of Fort Worth. They enter the quote and slide to 60 days. The tool shows half due at signing to reserve the coach and the other half due 7 to 14 days before the wedding. Their planner sets a reminder for 16 days out, pays the balance the following week, and the contract, verification, and payment are all closed before the rehearsal dinner. If the same couple had called 6 days out, the tool would show the entire quote due at signing.
The calculator turns those rules into two numbers for your date. Enter the all-inclusive quote, slide to how many days remain until the event, and it shows the amount due now and the amount due later. Past 7 days out, that is a 50/50 split with the balance window labeled. At 7 days or less, the tool switches to pay-in-full and the balance drops to zero, because there is no later window left.
Use it to plan cash flow for a wedding shuttle booked three months ahead, or to understand what a last-minute Rangers run really requires. Deposits are non-refundable, and cancellations within 7 days carry a 100% fee, so knowing which side of the line you are on matters before you sign. The tool does not store anything or send a payment; it simply shows the two figures you will see on the contract.
The median Fort Worth wedding request arrives 82 days ahead. For a Southlake guest shuttle that far out, the deposit secures the coach and the balance lands roughly a week or two before the ceremony, well after final RSVPs.
Sports groups plan a median of 14 days ahead and many wait for the schedule. Slide the tool to 5 or 6 days and you will see why a late Cowboys or Rangers booking means the whole quote at signing.
New Year's Eve, prom Saturdays, and other special event dates are non-refundable regardless of lead time, and all cancellations must be in writing between 8 AM and 8 PM. Confirm the headcount before the deposit, not after.
