Budget & Cost
Get a shopping list for the cooler that matches your headcount and your hours, with water and ice included.
Fort Worth party buses are strictly bring-your-own. We do not sell alcohol or hold a liquor license, so guests 21 and older stock the cooler themselves, and the cooler is usually packed in a hurry on the way to the pickup. Overbuying means warm cans riding home in someone's trunk; underbuying means a detour that eats into your booked hours. A rough per-person, per-hour estimate solves both, and this calculator does that math in one screen.

Use the tool, then send the date, ZIP, and headcount.
Type the number of drinking-age riders. If minors are on board, alcohol is only allowed when a parent or legal guardian is present, and underage drinking stops the trip.
Slide to your booked hours. A 6-hour game day produces a very different list from a 3-hour Sunday brewery loop.
Light, moderate, or heavy sets 1, 2, or 3 drinks per guest per hour. Moderate fits most birthday and bachelorette groups.
Beer or cans, seltzers or mixed, water bottles, and pounds of ice appear in the supply grid. Round beer up to full cases and ice up to full bags.
Buy cans and plastic cups, bring a cooler that fits the ice figure, and pack extra trash bags so the sanitation fee never comes up.
A Mansfield neighborhood group books a 6-hour Saturday for a Rangers day game: pickup off Highway 287, tailgate near Globe Life Field, the game, and Texas Live! before heading home. All 25 riders are over 21 and the organizer picks moderate. The calculator returns 300 total drinks, shown as 180 beers or cans and 75 seltzers or mixed cans, plus 38 water bottles and 38 pounds of ice. The organizer rounds to seven and a half cases of beer, three 24-packs of seltzer, two cases of water, and four 10-pound bags of ice, then splits the shopping between two coolers. The leftover 45 drinks of headroom go to whatever the group argues about in the group chat.
Enter the guest count, slide to your trip length, and choose a drinking level. Light assumes one drink per guest per hour, moderate two, heavy three. The tool multiplies those out, then splits the total into roughly 60% beer and 25% seltzers or mixed cans, leaving the rest for whatever the group prefers. It also adds 1.5 bottles of water per guest and 1.5 pounds of ice per guest regardless of level, because hydration and cold cans matter more on a 100-degree August tailgate than anything else on the list.
Party buses, limos, and limo sprinters already carry ice and bottled water, so treat the water and ice numbers as the top-up for a long day rather than a from-zero requirement. Plastic cups are recommended and glass is discouraged for safety. Coolers and extra ice are encouraged, and a second small cooler for water keeps the beer cooler from being opened every two minutes on a hot afternoon.
Game-day groups are the most varied in size and often book 6 hours or more. Stadium traffic can add 45 minutes each way, so set the slider to the full block, not just the time you expect to spend tailgating.
The 1.5 bottles per guest is a floor for a summer trip. Every party bus has A/C, but the walk from the lot to Globe Life Field does not, and a $250 sanitation fee is the usual cost of skipping hydration.
Unlimited stops are included, but a beer run to a store near the pickup burns 20 minutes of a block that was timed for bars and dinner. Buy everything the day before and ice it right before the driver arrives.
