Event Checklist

A 14-step, week-by-week checklist that tells you what to handle now and what can wait until the day of your party bus ride.

Most Fort Worth groups give themselves less time than they think. The median group requests a quote 28 days before the event, and birthday planners, who make up about 42% of requests, give themselves only 23 days. For a Saturday in November, the busiest birthday month of the year, that is often too late for a first-choice vehicle. This checklist exists so you start the two things that matter most, headcount and booking, four to six weeks out instead of two.

How to use the event checklist

  1. 1

Start at the top of the list

Open the checklist and read the first two items: confirm guest count and research and book the party bus. Both belong in the 4-to-6-week window, and both decide which vehicles are still available.

  2. 2

Tap each item as you finish it

Tapping an item strikes it through and moves the progress bar. Tap again to undo if a task comes back, for example if your headcount changes after you sent it.

  3. 3

    Work the middle weeks

Three to four weeks out, plan the route and send invitations with pickup details. Two weeks out, confirm bar or restaurant reservations and write the BYOB list in cans and plastic only.

  4. 4

    Close out the final week

Send the final headcount, build the shared playlist, confirm the pickup time and driver contact two days ahead, then share the pickup address with everyone riding.

  5. 5

    Finish on the day

Buy ice and drinks, charge your phone, remember that nothing needs to be collected for the driver, and get the group to the pickup spot 10 minutes early.

A 40th birthday in Crowley, six weeks out

A planner in Crowley is organizing her husband's 40th for the second Saturday in November with about 16 friends and a Stockyards route. She opens the checklist on a Monday six weeks ahead and completes the first two items that week: 16 confirmed, 20-passenger party bus reserved with the deposit paid. Three weeks out she maps Crowley to Exchange Avenue (about 18 minutes to Fort Worth before the drive north) and sends invitations with the pickup house. One week out the bar shows 8 of 14 complete, 57%, and she sends the final headcount of 17. The day of, she buys two bags of ice and a case of canned drinks, and the group is on the curb at 6:20 for a 6:30 pickup.

Why this matters for a Fort Worth group

The tool is a tap-to-complete list of 14 items grouped by how far out they happen: 4 to 6 weeks, 3 to 4 weeks, 2 weeks, 1 week, 2 days, and the day of. A progress bar at the top shows how many you have finished and the percentage done. Each item is a real task from a real booking, like sending the final headcount a week out, sharing the pickup address two days ahead, and buying ice the morning of the ride.

Nothing on the list is filler. The BYOB step reminds you that drinks ride in cans or plastic only, because glass is discouraged on every vehicle. The day-of line that says there is nothing to collect is there because driver gratuity, fuel, and taxes are already in the quote, so no one has to pass a hat at the end of the night. When all 14 are checked, you are ready.

Move the booking step earlier for spring and December

If your date is a Saturday in March, April, or May, you are competing with prom for the same 14- to 20-passenger vehicles and the day carries a 6-hour minimum. Treat the 4-to-6-week item as an 8-week item on those dates and for December 8 through 24.

Lock the deposit when you check the booking box

A quote is not a reservation. The date is held only after the signed contract and 50% deposit are in, and the balance is due 7 to 14 days before the event, which lines up with the 1-week items on this list.

Use the headcount step to pick a seat buffer

Vehicles cannot be loaded past seating capacity and swapping vehicles after booking is hard. When you confirm the count, add two seats of breathing room before you choose a size.

FAQ

Event Checklist questions

Specific to this tool and how Fort Worth groups use it.

Because that is where most Fort Worth groups fall short. The median birthday group asks for a quote 23 days ahead, and about 16% of requests arrive within the final week, when prime Saturday vehicles are rarely still open and the booking is paid in full at signing. Six weeks gives you a real choice of vehicles.
