Most Fort Worth groups renting a party bus are doing it for the first time, so the process is worth spelling out. It takes five steps, and the two that matter most are the deposit and the contract, because until both are in, the vehicle is still available to anyone else.

Step 1: Send the five details

Pickup ZIP code or address, event date, approximate guest count, event type, and how many hours you want. With those we can recommend the best-value vehicle that fits the group and send one all-inclusive number. Telling us the occasion matters: a 16-passenger bus for a bachelorette is a different pick than a 16-passenger bus for a quinceañera, and about 20% of Fort Worth requests skip the event type.

Step 2: Understand the quote

Every quote includes the vehicle, a licensed and insured professional driver, fuel, taxes, and driver gratuity. Party buses, limos, and limo sprinters also carry ice and bottled water, and unlimited stops are included within your booked hours. There are no fuel surcharges or tip add-ons on the night.

Pricing is set to be competitive and we do not discount below the quoted all-inclusive rate. If a quote is over budget, the practical options are a smaller party bus, a limo, or a more affordable shuttle that still fits the group.

Extra hours are billed by the hour for the vehicle you booked. If you were quoted a package price, the hourly rate is that total divided by the quoted hours unless a specific extra-hour rate is listed. Trips beyond about 30 miles from Fort Worth, or out of state, may include a mileage adjustment, which we confirm before you book.

Step 3: Know the minimums

  • 4 hours on Friday and Saturday nights.
  • 3 hours available on select vehicles Sunday through Thursday, and for Friday or Saturday pickups before 5 PM.
  • 6 hours on every Saturday in March, April, and May, for all event types, because those are prom dates.

You can always book more hours than the minimum, and about half of booked Fort Worth trips do.

Step 4: Sign and pay the deposit

A quote is not a reservation. The date is locked in only when we receive the signed contract and the deposit.

  • Deposit: 50% of the total.
  • Balance: due 7 to 14 days before the event.
  • Within 7 days of the event: payment in full at booking.
  • Payment methods: credit or debit card is standard; other options may be available depending on the vehicle and date.
  • Verification: the cardholder completes ID and card verification during the contract process.
  • Who can sign: the person signing must be 21 or older. There is no age restriction on who rides.
  • Booking for someone else: we collect the payer's name, email, and phone, plus a main rider contact for the driver.

Terms can be sent before the contract, and current vehicle photos are available on request.

Step 5: Ride

The balance must be paid before the client enters the vehicle. Your driver arrives at the first pickup and follows your itinerary with unlimited stops inside the booked hours. Overtime begins 15 minutes past the scheduled end, is charged at the hourly rate on the run sheet, and is only possible if it is prearranged with the driver and the vehicle is not reserved afterward.

If plans change

Changing vehicles. Upgrades and downgrades after booking are often not possible because the other vehicles book too. Confirm the count before signing.

Cancellations. All deposits are non-refundable. Cancellations within 7 days of the reservation are a 100% cancellation fee. Cancellations outside 7 days may, at management discretion, allow the deposit to be used as a credit toward a future reservation. Special event dates are a 100% cancellation fee. Cancellations must be made in writing between 8:00 AM and 8:00 PM, and any reschedule or credit outside 7 days must be approved in writing.

Weather and emergencies. If we cannot fulfill the trip, you receive a full refund. We are not responsible for delays or cancellations caused by weather, unsafe roads, accidents, or other events outside our control.

Mechanical issues. In the unlikely event of a breakdown on charter, we do everything we can to provide a replacement vehicle. If we cannot service the event, a full refund is given. No refunds are given if the radio or lights do not perform.

Timing your booking

The median Fort Worth group requests a quote 28 days out, and about half inquire within 30 days. Weddings plan about 12 weeks ahead, bachelor and bachelorette parties about 7 weeks, proms about a month, birthdays about 3 weeks, and game days only 2 weeks. Two thirds of events fall on a Saturday. For a Saturday in spring or December, start four to six weeks out.

Prom groups need a parent or guardian 21 or older to sign the contract and complete card verification, and the same adult should be reachable on prom night. Half of prom groups are 14 or fewer, which fits a limo sprinter or a 16-passenger party bus.

Quinceañera itineraries usually start with a 3 to 5 PM pickup for the church or ceremony, a photo stop, and a reception drop-off, so a 4- to 5-hour block on a Saturday fits most families.

Vehicles cannot be loaded past seating capacity and swapping vehicles after booking is hard. If your confirmed count is within two seats of a vehicle's maximum, book the next size up.

Split drop-offs are included in your hours, and they are most requested by bachelorette and birthday groups whose guests live across Keller, Southlake, and Fort Worth. Plan the last 30 minutes of the block for them.
