Timeline Builder

Build a time-stamped run sheet for the night so your driver, your guests, and your booked hours all agree.

The most expensive mistake on a party bus night is not a bad bar choice. It is a plan that runs 40 minutes longer than the hours you reserved. Overtime starts 15 minutes past the scheduled end time, is only possible if the vehicle is free afterward, and is billed by the hour. About half of the Fort Worth groups that book end up reserving more than the 4-hour minimum, usually because they wrote the night down and saw it did not fit.

How to use the timeline builder

  1. 1

    Edit the six starter blocks

Replace the placeholder times and activities with your own. Keep the first block as the time guests should actually be standing at the pickup address, not the time the bus leaves.

  2. 2

Add a block for every stop and every drive

Tap the add button for extra rows. Give travel its own line when it matters: Southlake to the Cultural District is about 28 minutes, and downtown to AT&T Stadium is 20 to 30 minutes outside game-day traffic.

  3. 3

Delete what you do not need

Use the remove button on blocks that do not apply. A prom night has no bar stops, and a brewery afternoon has no late-night return.

  4. 4

Check the preview against your hours

The preview shows only the rows you filled in. Subtract the first time from the last, add a 30-minute buffer, and compare that to the hours on your quote before you sign.

A Southlake prom group with a 6-hour block

Fourteen students from Southlake, right at the median prom group size, book a 16-passenger party bus for a Saturday in late April with a parent signing the contract. Their timeline: 4:30 PM meet at one house for photos, 5:00 depart, 5:30 dinner on Magnolia Avenue, 7:00 drive to the venue, 7:30 to 11:00 the dance, 11:15 depart, 11:45 after-party drop-off in Southlake. First time to last time is seven hours and 15 minutes, so the preview makes it obvious the 6-hour spring minimum is not enough. They book seven and a half hours, and the parent sets the final row as the time she expects to see the bus.

Why this matters for a Fort Worth group

The Timeline Builder starts you with six editable blocks: the group meets at 6:00 PM, the bus departs at 6:30, dinner at the first stop at 7:00, a first bar at 8:30, a second bar at 10:00, and the return home at 11:30. You can change any time or activity, delete a block, or add new ones. Below the editor, a clean preview lists every filled-in block in order, ready to screenshot and send to the group.

Read the result against your booking. The default plan runs from a 6:00 meet to an 11:30 return, five and a half hours of clock time, so a group using it as written should book six hours, not four. If your last line is a split drop-off across Keller and Southlake, give it 30 minutes. If your date is a spring Saturday, remember the 6-hour minimum already applies.

Prom timelines run long on purpose

Every Saturday in March, April, and May carries a 6-hour minimum, and prom nights use it: a 4:30 pickup for photos, a dinner stop, the dance itself, and an after-party drop. Build the dance as one long block and the parent-approved end time as the final row.

Give dinner 60 to 90 minutes

Food is not allowed on the vehicle, so dinner is a real sit-down stop, and about 5.5% of Fort Worth itineraries include one. A quick taco or drive-through run needs about 20 minutes.

Put the driver contact step on the timeline

Make the first block include sharing the driver number with at least two riders. The person signing must be 21 or older and reachable all night, which matters most for prom groups where parents are at home.

Timeline Builder questions

Specific to this tool and how Fort Worth groups use it.

Allow about 15 minutes of travel between stops inside Fort Worth, which is what the Bar Crawl Planner assumes. West 7th to Sundance Square is a short hop; Sundance Square to the Stockyards takes closer to 15 to 20 minutes, and loading 14 or more people back onto the bus takes a few minutes every time.
